We have an exciting opportunity to support the Operations Director – Sanctuary Supported Living (SSL). In this high profile role as Director’s Secretary, you will provide support and deliver an effective administrative service to the Director. This is a busy role with strict deadlines to meet and a varied work load to manage.

The role of Director’s Secretary will include:

  • Providing daily support to the Director; including diary, inbox, phone and system management
  • Following up on action points assigned to the Director, liaising with a variety of internal departments as appropriate
  • Collating and formatting regular board reports in line with Group requirements
  • Organisation of Director and SSL senior management team
  • Preparing for and attending meetings, including taking action points and distributing agendas for meetings as required
  • Responding efficiently and appropriately to enquiries and complaints raised at a senior level
  • Organising all travel and accommodation requests, as well as processing mileage and expense claims on behalf of the Director

Skills and experiences:

  • Proven experience within an administration or secretarial role
  • Excellent attention to detail, with the ability to work under own initiative, both alone and as part of a wider team
  • Ability to manage a workload and prioritise conflicting deadlines
  • Discretion and an understanding of the importance of confidentiality is essential
  • Strong communication and writing skills
  • A professional, calm and approachable personality
  • Excellent understanding of Microsoft Office software
  • An understanding of SAP is desirable but not essential
